前稿で書ききれなかった「簡潔化のコツ」を引き続き記していきます。
< 余計な単語を詰め込まない >
文章の行き先を考えず、とりあえず「There is」で始めてしまうようなこともありがちです。簡潔化の余地があるのではないかと再読して精査しましょう。
X There is only one candidate who passed the writing test.
O Only one candidate passed the writing test.
X It was our auditor who made a discovery of the error.
O Our auditor discovered the error.
< 同じ単語の繰り返しを避ける >
同じ単語ばかりを使うのではなく類義語や代名詞等を使うことで活き活きとしてわかりやすい文章になります。とはいえ同じ単語でも意図的に使う場合はこれにあらずです。また、a / an / theの過剰な使用にも気を付けましょう。複数形の単語につくtheは省略できる場合もあります。
X Employees will be able to elect an additional six employees to serve with the four previous elected employees who currently compromise the employees’ bord of directors.
O Employees may vote for six additional representatives to serve with the previously elected members of their board of directors.
X The committee members agreed on many of the rule changes.
O Committee members agreed on many rule changes.
< 重言を避ける >
日本語でよく聞く「馬から落ちて落馬して」というような、単語としては別だけれど意味としては重複するような場合はどちらか片方で十分です。下記に例を挙げてみます。

< 業界用語 >
専門的な内容についての文章でない場合は業界用語や技術用語は避けた方が良いです。各業界にはそれぞれに専門用語などがありますので、専門用語や技術用語を使う方がその内容を読み手に正確或いは効率的に伝えられる場合は使っていく、というように読み手の状況・状態を鑑みて書きましょう。
< スラング >
ビジネス文書や論文では当然のことながらスラングの使用は避けるべきです。難解なスラングではなく明瞭な単語やフレーズを使いましょう。
< クリシェ >
クリシェとは、使い古され目新しさや明快さを失った決まり文句のことです。英語圏とは違った文化的背景を持つ人にはわからないこともありますので、ビジネス文書や論文での使用は避けましょう。例を挙げてみます。

< 的確な動詞を使う >
具体的で描写力のある動詞を使うことで読み手がその場面をイメージしやすくなります。的確な動詞は行動を表すだけでなく文章の力強さも増してくれます。
一般的 A representative will contact you next week.
具体的 A representative will telephone / e-mail / visit you next week.
一般的 Our manager asked everyone to volunteer.
具体的 Our manager urged / begged / coaxed everyone to volunteer.
一般的 We must consider this problem.
具体的 We must clarify / remedy / rectify this problem.
< 動詞の不必要な名詞化を避ける >
不必要に名詞化することで動詞としての意味が埋もれてしまうことがあります。名詞化を避けることで文章を簡潔で力強いものにできます。
X Our auditor made an examination of the books.
O Our auditor examined the books.
X Unions and management reached an agreement to continue talking.
O Unions and management agreed to continue talking.
X The webmaster and the designer had a discussion about graphics.
O The webmaster and the designer discussed graphics.
< 具体的な名詞を使う >
function, justice, integrity, environmentなどの抽象名詞は視覚化しにくく、desk, car, laptopといった具体名詞は対象物を視覚化しやすいです。ビジネス文書や論文では、書き手の意図が読み手に「視覚化」しやすいように具体的な表現を使うようにしましょう。
抽象的 we received numerous inquiries
具体的 we received 78 inquiries
抽象的 a person called
具体的 James Grover, the senior marketing manager, called
抽象的 we have to move a lot of stuff
具体的 we have to move three rooms of furniture
抽象的 Negotiators use many skills
具体的 Negotiators use tact, diplomacy, empathy, and business savvy
< 明瞭な形容詞を使う >
描写力のある形容詞を使うことで文章が明瞭で具体的になります。しかしながら、そういった形容詞の使い過ぎや客観性を失ってしまうような形容詞の選択は避けるように注意しましょう。
一般的 Amanda submitted her report on time.
明瞭 Amanda submitted her detailed 12-page report on time.
一般的 We must hire a good employee.
明瞭 We must hire a productive, efficient employee.
一般的 We enjoyed the movie.
明瞭 We enjoyed the entertaining and absorbing movie.
やりすぎ We enjoyed the gutsy, exciting, captivating, and thoroughly marvelous movie.

最終稿になったら精読しましょう。チェックする内容は下記です。コンピューターによる自動チェック機能を使うのも良いですが、それだけで終わらせず、自身で辞書や資料を調べるようにしましょう。
・スペル
・文法
・句読点
・名前や数値(人名の間違いや数字の入力ミスなど)
・フォーマット(文頭が揃っているか、インデント忘れが無いかなど)
